Removing silos and decentralising content creation.

Victorian Funds Management Corporation (VFMC), one of Australia’s leading institutional investment managers, sought to modernize its IT infrastructure and enhance internal communication and collaboration. As part of its digital transformation strategy, VFMC had committed to a 3 year IT roadmap which included in part on a broad cloud migration focus.

VFMC aimed to implement Microsoft 365(M365), which would not only improve its productivity tools but also create a dynamic, user-friendly intranet and streamline communication across the organization.

Our team was tasked with delivering a full M365 implementation, which included the creation of a world-class intranet using SharePoint Online, along with the deployment of Microsoft Teams for collaboration and communication across all departments. The goal was to provide a modern, secure, and highly functional environment that would support VFMC’s fast-paced investment operations and dynamic workforce.

Client Challenges

VFMC faced several challenges before embarking on the M365 implementation:

– Fragmented Communication: VFMC’s employees were using multiple, disconnected tools for communication, which led to inefficiencies and delays in responding to critical business needs.

– Legacy Intranet: The existing intranet was outdated, difficult to navigate, and lacked the functionality needed to serve as a hub for collaboration, information sharing, and internal communication.

– Siloed Teams: With employees working across departments, VFMC needed a solution that would facilitate seamless communication and collaboration among teams, allowing transparency.

– Security and Compliance: As a leading financial institution, VFMC had strict security and regulatory requirements for managing sensitive financial data and communications. They needed a solution that would meet industry standards for compliance and data protection.

Microsoft 365 Implementation with SharePoint Intranet and Microsoft Teams

The solution involved the full deployment of **Microsoft 365**, including:

– SharePoint Online: Used to create a modern, responsive, and user-friendly intranet that would serve as the central hub for all internal communication, documents, and resources.

– Microsoft Teams: Implemented as the primary communication and collaboration platform, enabling employees to communicate, share documents, and collaborate in real-time across departments and geographic locations.

– OneDrive for Business: Integrated for secure file storage, sharing, and collaboration on documents, providing VFMC staff with easy access to their work from anywhere.

– Security and Compliance Features: Configured advanced security and compliance tools within M365 to meet financial industry regulations, including data protection policies, audit logs, and role-based access controls.

Key Benefits

– Enhanced Collaboration: With Microsoft Teams as the primary collaboration platform, VFMC staff could collaborate in real-time, share documents securely, and communicate effectively across teams, regardless of location.

– Improved Knowledge Sharing: The SharePoint intranet became the central hub for company news, resources, and documents, enabling employees to easily access the information they needed and collaborate on projects with ease.

– Streamlined Workflows: The integration of Teams, SharePoint, and OneDrive enabled employees to work seamlessly across tools, reducing friction and streamlining workflows for project management, communication, and document management.

The Microsoft 365 implementation at VFMC, which included the creation of a world-class SharePoint intranet and the deployment of Microsoft Teams, has transformed the way the organization communicates, collaborates, and shares information. By leveraging the power of Microsoft’s cloud-based solutions, VFMC has created a more efficient, secure, and agile environment that supports its fast-paced investment operations and dynamic workforce.

The project highlights the significant benefits that modern collaboration tools can bring to financial institutions, from enhancing productivity and security to improving employee engagement and decision-making.
